Privacy policy

Your data stays in your lane.

Effective September 19, 2026

This policy explains how Hot Lap collects, uses and shares information through hotlapsim.com, Hot Lap Racing Control, driver accounts, results, leaderboards and our business services.

Who we are

Hot Lap provides sim racing rig leasing, rentals, events, installations and Racing Control software. Hot Lap is the controller of information collected directly through our website and central services. A venue may also control information it collects during its own event or operation.

Privacy questions and requests can be sent to support@hotlapsim.com.

What we collect

  • Account information, including name, email address, username, authentication identifiers and account preferences.
  • Business customer information, including company, venue, role, location, license seats and support history.
  • Booking and contact information you submit, such as phone number, event details and messages.
  • Purchase information, including order, price, tax, payment status and Stripe customer identifiers. Hot Lap does not receive your full card number.
  • Race information, including driver display name, venue, event, simulator title, car, track, lap time, lap count, position, gaps and result history.
  • License and device information needed to activate a rig, prevent duplicated keys and protect result integrity.
  • Technical and security information, such as IP address, browser, device, logs, cookies, fraud signals and error reports.

How we use it

  • Provide accounts, purchases, licenses, downloads, activations, support and requested business services.
  • Save results, run local or network leaderboards and let drivers keep times across participating venues.
  • Secure the service, verify rig submissions, prevent cheating, fraud, duplicated activations, bots and other abuse.
  • Communicate about an order, account, event, service change or support request.
  • Improve reliability and understand how the service is used.
  • Meet legal, accounting and tax obligations.

Where required, we rely on performance of a contract, our legitimate interests, consent, or compliance with law. You may withdraw consent at any time where consent is the basis, without affecting earlier processing.

Results and venues

A Hot Lap driver account is designed to work across participating venues; it is not a membership in one venue. A venue can operate local-only results or enable network results. When network results are enabled, race data and the driver name or chosen display name may be sent to Hot Lap.

Leaderboards are public or venue-facing by nature. Use a display name you are comfortable showing. Unclaimed guest results may be stored without a Hot Lap account and later linked through a secure claim flow.

Who receives it

We share information only as needed with service providers that help us operate Hot Lap, including Cloudflare for hosting and security, Clerk for authentication, Stripe for payments and Google Workspace for business communications. We may also share relevant results with the venue or event that produced them, and public leaderboard information when that feature is enabled.

We may disclose information to professional advisers, authorities or another business where required by law, needed to protect rights and safety, or as part of a sale, merger or reorganization. We do not sell personal information or use it for cross-context behavioral advertising.

Retention

We keep information only as long as reasonably needed for the purpose collected, including active accounts, lifetime license records, result history requested by drivers, security, dispute resolution, accounting and legal obligations. Retention length depends on the type of record and applicable law. We delete or de-identify information when it is no longer needed.

Your choices

Depending on where you live, you may have rights to access, correct, delete, restrict or object to processing, receive a portable copy, withdraw consent, or appeal a decision. You may also have the right to know what is collected and shared and to receive equal service when exercising privacy rights.

Send a request to support@hotlapsim.com. We may verify your identity before acting. You may also use an authorized agent where local law allows it.

Children

Online Hot Lap accounts are not directed to children under 13 and should not be created by them. A venue may allow a supervised guest to drive without creating an online account, subject to the venue's rules. If we learn that online personal information from a child under 13 was collected without required permission, we will delete it.

Security

We use technical and organizational safeguards including encrypted connections, managed authentication, bot protection, rate limits, signed rig credentials, restricted secrets and one-time activation codes. No system is perfectly secure, so customers must also protect their accounts, venue devices and license credentials.

International use

Our providers may process information in the United States and other countries. Where required, appropriate transfer protections are used. Local privacy rights continue to apply according to applicable law.

Changes

We may update this policy as Hot Lap grows. We will post the revised date here and provide additional notice when a material change requires it.
